How to Guide – Viewing and applying to rent a property with us

Becoming a tenant with us is pretty simple. Once you see a property listing that you like, click the ‘Request a Viewing’ button at the top right. Tell us a bit about yourself and other tenants in your group (if applicable).
From here, should you meet the initial criteria set by the owner/landlord we will invite you to a viewing.

New Tenancy FAQs
The most likely reason this will be is due to the demand for the property already received.
When a property goes live, the following day at 8am we check all viewing requests for that property, those that match the criteria will be invited to view.
Usually the 1st viewing will take place 2-3 days from it going live, in the lead up to the viewing we will contact other people who have applied after the 1st batch got invited to add on.
If you request comes after the 1st viewing has taken place, should nobody be offered a tenancy from that viewing you would be contacted then however, in most cases we do find that properties do get let after the 1st viewing has taken place.
We may ask you to provide a guarantor if you:
- Are a student
- Are not in full time employment
- In a probation period for a new job
- Under 2 years of self employment
- Do not have sufficient income (a student loan does not count as an income).
- If your credit rating is insufficient (deemed by Experian or other relevant credit check companies we use) then a guarantor is also likely to be requested.
- Affordability criteria of 2.5 times the monthly rent (for example, a £1000 per calendar month flat shared between two people with low income would require two guarantors with at least £1250 net monthly income or one guarantor for both tenants with at least £2500 net monthly income).
- If a guarantor is self-employed, a credit check may be carried out on the business. A tax return, letter from an accountant or SA302.
If you can’t provide a guarantor or they do not meet the required criteria then we would require rent upfront, the amount will be confirmed in advance and is usually between 3-6 months (the maximum rent upfront accepted is 6 months)
Deposit amounts are always stated on the listing for the property.
In most cases the deposit will be equivalent to one months rent. For example, if the rent is £1000 then deposit will be £1000.
If you have a pet the deposit amount is usually 1.5 times the monthly rent unless agreed otherwise. E.g if the rent is £1000 the deposit would be £1500
The deposit is due within 24 hours of you being provisionally offered your tenancy, if things don’t work out and the tenancy doesn’t go ahead this is fully refundable to you.
We will only ever ask you to pay a deposit and rent at the stage you receive a provisional tenancy offer. This request will be sent via email from an @southsidemanagement.com domain email (usually applications@southsidemanagement.com)
We only accept payment by BACS.
Never make any payment that is a request from any other email account or payment method.
If you ever aren’t sure please give our office a call and we will be happy to verify any payment requests.
Typical timescales for any payments due:
Deposit – 24 hours from receiving your provisional property offer
Rent – Due 3 working days prior to your tenancy start date
(all payment terms will be provided in your tenancy offer email)
We use a 3rd party company to carry out the verification of your application called ‘Canopy’ you can find out everything you need to know on their website here – https://www.canopy.rent/renters
In addition to this, if you are not a UK National, we will request your Right to Rent evidence.
Guarantors will be requested and vetted by us directly as well.
Any changes to the property would be at the sole discretion of the property owner.
When you view a property there is a form you submit after to advise if you are interested in moving in, on this form it will ask if you have any requirements so you can list here any changes you would like to make and these can be discussed with the owner.
This is property dependent, if you have a pet you would disclose this on your ‘Request a Viewing’ form and if the owner of this property accepts pets you will be contacted to arrange a viewing.
Here are full details of our Pet Policy to be aware of:
1.
A reference may be required to be provided for the pet(s) from a former landlord, we will advise you if this is required in writing;
2.
An increment to your deposit will be required to be paid, usually 50% of one months rent – the amount will be confirmed in writing to you by SPM;
3.
Tenants are responsible for providing their Property Manager with contact details for who will care of their pets in case of an emergency;
4.
Tenants are responsible for their pets in accordance with the relevant Animal Welfare Act. If SPM believe that a pet is being kept in the property has been neglected or abandoned they will report it to an appropriate animal welfare organisation;
5.
Tenants must not leave their pets in the property when they are away unless clear arrangements have been made for their care;
6.
Tenants must ensure any pets left unsupervised do not cause any damage to the property;
7.
All pets kept at the property must be vaccinated and regularly treated for fleas, mites and worms (if appropriate);
8.
Cats must be neutered and evidence provided to SPM;
9.
Tenants are responsible for keeping all areas of the property clean and free from parasites such as fleas;
10.
Tenants must ensure their pets do not cause nuisance to neighbours. This includes excessive noise;
11.
Pets must not be allowed to foul inside the property, except for caged pets and pets trained to use a litter tray. Any pet faeces must be removed immediately from the garden or outside areas and disposed of safely and hygienically;
12.
Any animal listed in the schedule of Dangerous Wild Animals Act 1976 may not be kept at the property;
13.
Any dog listed under the Dangerous Dogs Act 1991 may not be kept at the property with the exception of dogs registered on the index of Exempted Dogs;
14.
Tenants may not breed animals or offer for sale any animal in the property;
15.
Tenants who wish to obtain an additional pet after moving into the property must first apply for permission in writing to SPM;
16.
Tenants must repair any damage caused to the property and its fixtures and fittings which has been caused by the pet(s);
17.
Tenants must ensure appropriate cleaning has been carried out including fixtures, fittings and upholstery to remove all traces of the pet(s);
18.
Tenants must request permission for any alterations required to the property for the pet(s) e.g cat flap and wait for authorisation to be granted before carrying out any modifications or alterations;
Yes as part of our due diligence checks we would require the following to be provided if you are offered a tenancy with us:
-UK Visa or Residence Card (Share Code)
-Biometric Residence Permit (BRP)
-Settled or Pre-settled Status under the EU Settlement Scheme
Canopy are a tenant referencing company, they will request documentation from you and verify the legitimacy of your documents. They will then send us a report of their findings which will be used to determine if your offer will be formalised.
No any decision made on whether or not your tenancy offer will be formalised is by us at Southside only.
Canopy will provide us a report of their referencing which will indicate if they have found any issues that may need to be discussed further with you before a final decision is made.
Any questions or queries on what you need to provide, how to provide it or the status of your verification must be directed to Canopy. On their website they have a ‘contact us’ button that you can use to live chat, call or email them.
Please don’t call us to discuss this as the best help available is from Canopy direct.
Canopy do not make any decision about offering you a tenancy or not. When you have completed information about yourself when requesting a viewing, we already know what to expect from your Canopy verification. For example you are all students without income, when you sign up to Canopy it will flag this to us as a consideration and will show you that you don’t have the affordability – this is not an issue as we already know that you don’t have income. The purpose of Canopy is to verify that what you have told us initially matches the outcome of your verification.
When your verification is complete, any considerations raised by Canopy whether that be a high risk credit score, negative landlord reference etc will always be discussed with you by us at Southside for making the final decision.
Please ensure that all information you provide to us at the ‘Request a Viewing’ stage and to Canopy is genuine and correct. Ensure you use your full name (Not shortened or nickname) and get prepared, notify your referees that they will be contacted, ask them to provide you a reference so you can upload that. The most common delays are caused by referees not completing the references so any help you can make by contacting them as well will make a huge difference.
Also the lead tenant should coordinate all tenants to make sure they sign up promptly and are adding the information requested timeously.
